    Job Description

    To handle all Administrative duties as required by the Sales Department.

    Responsibilities

    • Arranges appointments for Director of Sales
    • Answer incoming telephone calls - all Sales lines
    • Responds to telephone inquiries by determining client's needs and specifications for referral to Sales Managers
    • Processes all Director of Sales incoming correspondence
    • Types all Director of Sales outgoing responses
    • Ensures that all filing systems are maintained according to spec's (Local, Convention and Spin-off)
    • Maintain inventory of office supplies
    • Assist and maintain the working condition of the office equipment (copiers and printers)
    • Sells Food & Beverage to small convention groups and one-shot groups
    • Type and distribute menus for these groups
    • Co-ordinates catered events for these groups
    • Gathers and organizes all materials for Sales End of Month report
    • Ensures that all Director of Sales catered functions are "tie-down" 48 hours in advance (guarantees, floor Plans, entertainment, flowers, A/V etc.
    • Establishes rapport with Director of Sales's clients and functions as liaison
    • Special projects as assigned by Director of Sales

     

    Qualifications

    • Must be able to work alone as well as work well with others
    • Must be extremely computer savvy (Microsoft Word, Publisher, Outlook, Express, Excel)
    • Previous knowledge of Delphi, Opera and Synergy preferred
    • Must have good organizational skills
    • Hospitality experience required, preferably in an upscale hotel setting
    • Must have excellent written and oral communication skills in fluent written and spoken English
    • Experience in a sales environment is strongly preferred
    • Bachelor’s degree is preferred, but not required
    • Must be able to work a flexible schedule including day, evening, weekends and holidays
