    Job Description

    To assist the Purchasing Manager in all operational functions to achieve departmental objectives. Assist replenishing storeroom stock to support daily operations in outlets and assures availability of product in quantity and quality consistent with hotel standards. Assist on training and supervising purchasing personnel to assure effective controls and storeroom maintenance regarding receiving and distribution of goods.  Maintain effective communication with supervisors, departments, subordinates and vendors to result in an expeditious and effective purchasing program.





    Essential Functions:   


    • Directly supervise the daily tasks of hourly Purchasing staff through delegation of work tasks to achieve set objectives.
    • Develop orders for outlet and Catering functions from daily inventories and weekly market price quotes. Develop these orders on the basis of quality and cost as to specific needs of each outlet and banquet function.
    • Supervise staff and assist in the daily functions of the loading dock as needed
    • Secures and investigates purveyors as to their quality, cost and specifications of goods marketed.
    • In absence of Purchasing Manager, responsible for attending BEO Menu Meeting daily and discuss needs of Catering and Storeroom information that might affect catering functions.
    • Check and monitor daily delivery invoices and outlet and banquet requisitions to check for their proper completion and authorization. Monitor allowances from purveyor for incorrect or damaged items delivered.  Scrutinize daily and monthly inventories.
    • Supervise staff, check schedule and associate activity. Makes "as needed" assessment of present and/or new associate job performance to determine specific training is needed to achieve desired results.  Makes recommendations to Purchasing Manager.
    • With the support and involvement of the Purchasing Manager, counsel and make, as needed, assessment of present and/or new associate job performance to determine what specific training is required to achieve desired results.
    • Receive all collected invoices daily, ensure price point is accurate, requisitions are reconciled, and all departments have received their purchased goods for the day. Any shorts or out of stocks from suppliers should be reported to the correct department.
    • With the support and involvement of the Purchasing Manager establish and maintain training tools for subordinates to achieve a better knowledge and understanding of the Purchasing process and applications such as: product familiarity, receiving and storage standards. EOM reconciliation of Food and Beverage, EOM Accounts Payable closing.
    • Investigate new items and purveyors for sampling of new products and better ways of operation. Report all information to Purchasing Manager, Executive Chef, and Food and Beverage Director.

    Working Environment:


    • Interior and exterior of hotel, in the food and beverage areas.
    • Exposure to extreme heat and cold
    • Exposure to various hazardous chemicals



    • Minimum 1 year purchasing/receiving experience in a hotel environment
    • Ability to clearly and pleasantly communicate both verbally and in writing in English with management and co-workers, both in person and by telephone
    • Ability to read requisitions and complete orders as requested
    • Proven leadership skills with the ability to effectively train, coach and exercise supervisorial courage
    • Ability to accurately and efficiently input information into computer systems
    • Adequate computer skills to include previous experience in Oracle, Birchstreet, Microsoft Office and Internet Explorer, with ability to easily learn our proprietary software and requisition system
    • Ability to work cohesively with co-workers both within and outside of your department
    • Must have experience receiving food items and maintaining proper inventory levels according to kitchen needs
    • ServSafe certification preferred; must have previous experience storing and handling food items
    • The ability to work in a fast paced, high pressure work environment while executing delegated tasks/assignments and while working as a team player
    • Requires frequent bending, reaching overhead and squatting. Lift, carry, and place objects weighing up to 50 lbs without assistance and 100 lbs with assistance
    • Push/pull objects weighing up to 75 lbs without assistance
    • Be able to work a flexible schedule, including early morning hours, holidays and weekends.
