    Job Description

    The Catering Services Administrative Assistant handles all administrative duties required by the Catering Department in order to provide superior services to our guests.

    Responsibilities

    • Schedules and prioritizes work load to meet deadlines of all managers.
    • Types and distributes all correspondence, including emails, proposals, contracts, etc. for assigned managers. Ensures that all correspondence is 100% accurate.
    • Answers calls to Sales office by third ring; takes detailed inquiry leads and submits to appropriate manager.
    • Ensures that all managers receive messages in a timely manner. (Messages to include name and phone, group or company name, number of caller, dates and time call received.)
    • Enters group information in Delphi FDC to create Bookings.
    • Files, organizes and responds to high traffic email.
    • Merges and edits contracts detailing appropriate information.
    • Creates Posting Master accounts in Opera PMS to charge deposits.
    • Inputs amenities into GoConcierge for VIP clients and processes paperwork (amenity card, details to In-Room Dining).
    • Generates event diagrams using Meeting Matrix.
    • Creates Banquet Event Orders.
    • Daily distribution of BEOs.
    • Coordinates In-House Meeting requests.
    • Prints Daily Event poster for lobby signage.
    • Schedules site/planning visits for managers using Microsoft Outlook.
    • Responds to phone/email Catering inquiries.
    • Routes Catering contracts through DOS/DOC/MRC.

    Qualifications

    • One year administrative/office experience required.
    • Must have excellent verbal and written communication skills.
    • Must be able to work alone as well as work well with others.
    • Must be able to work in a fast paced environment.
    • Must be extremely computer savvy (Microsoft Word, Publisher, Outlook, Excel).
    • Must have good organizational skills.
