Job Description

The Omni Boston Hotel at the Seaport is located in the center of the bustling Seaport District. The AAA Four Diamond rated hotel boasts 1,054 finely appointed guestrooms with 52 suites, seven delectable dining experiences, a scenic rooftop pool, a luxury Breve Spa,  and more than 100,000 square feet of meeting and event space allowing to provide each guest a unique and memorable experience. The Convention Services Coordinator directly supports Convention Services leadership through provision of administrative and operational assistance.  Support includes co-ordination and follow up of assigned tasks, correspondence with internal and external clients, maintaining a fluid communication network.  Additionally, aid in the development of processes to support operational team efficiencies.

Responsibilities

  • Daily administrative and office coverage to include typing, filing, answering telephones and maintaining inventory of all office supplies
  • Handle all telephone and ‘walk-in’ inquiries. Determine the client’s needs/requests and if needed, refer to the appropriate Convention Services Manager or other department
  • Manage the daily process of tasks such as Banquet Event Order (BEO) distribution, Change Log, Daily Events Report, Guarantee Sheets, other daily tasks that may evolve over time
  • Gather and organize required materials and information necessary for the production and distribution of a variety of weekly and monthly reports
  • Ensure group related amenities are requested and processed correctly
  • Acts as a point of contact for Convention Services leadership with internal and external contacts and provide timely responses to requests and communication
  • Catalogues and coordinates all requests to utilize function space for in-house meetings, across all departments. 

Qualifications

  • Must be able to work independently in a fast-paced environment and be able to handle multiple priorities
  • Must have good communication skills.

  • Must be extremely computer savvy (Microsoft Word, Publisher, Outlook, Express, Excel).

  • Previous knowledge of Delphi, Opera and Synergy preferred.

  • Must have good organizational skills.
