Omni Hotels & Resorts is seeking a Sales and Convention Services Coordinator for the beautiful Interlocken Hotel & Spa!

Omni Interlocken Resort & Spa is seeking a Sales and Catering/Convention Coordinator to join our outstanding Sales and Marketing team! This vital role will work closely with the Director of Sales and Marketing and Catering and Conference Services Leaders to ensure successful execution of all operations relating to the department, resulting in high levels of guest satisfaction and  This highly motivated individual will Accurately complete a variety of administrative duties requested by colleagues within the Sales, Catering, and Convention Divisions to provide timely and professional service to our guests.

Salary range for this position (based on experience): $23.00 - $25.00/hour. Full Time Associates at Omni Interlocken Resort are entitled to elect the following benefits: Medical, Dental, Vision and other healthcare benefits, Paid Maternity Leave, 401k and Paid Time Off Accrual. Omni Interlocken Resort reserves the right to pay more or less than listed compensation scale based on factors not related to sex or race.

Responsibilities

  • Provides administrative support to assist all Sales, Catering, and Convention service manager in achieving their monthly revenue goals. Candidate must schedule and prioritize workload to meet deadlines of all managers. This list of duties is not inclusive of all possible job duties that may be requested.
  • Maintain office hours as set by DOSM/DOCCS, 40 hours per week, and remain flexible to cover other hours/days based on business need as requested on your schedule.
  • Daily and weekly reports and tasks as requested by managers.
  • Maintain inventory of office supplies and collateral.
  • Submit departmental invoices for payment as needed.
  • Handle weekly BEO Distribution, daily BEO change logs, send out daily revisions and main the BEO book daily.
  • Setup and oversee all in-house meeting requests (blocking space, creating BEOS, ensuring sets are accurate and meetings have what is needed).
  • Based on business needs may need to be available to assist in overseeing events, checking room sets, checking in with the clients to ensure needs are met.
  • Monitoring VIP Meeting text line when needed for customer requests.
  • Professionally greets all guests and answers phone calls to the sales office. Accurately takes messages and communicates appropriately.
  • Manages the main sales phone line, checking voicemails and communicating accordingly.
  • Responding to telephone, emails, or OH.com inquiries by determining client's needs and specifications for referral to a sales manager.
  • Daily logging and distribution of all incoming sales leads in a timely manner.
  • Time Management and coordination; schedules and prioritizes workload to meet deadlines of all managers.
  • Creates and distributes all correspondence, including proposals, contracts, reports, etc. for assigned sales managers as requested.
  • Responsible for maintaining files and ensuring all information is included in the file per the SOP.
  • Responsible for group and catering contract turnover process, including contract, addendums, checklists, deposit request, awarding planner points, etc.
  • Accurately blocks function space in computer database for future group bookings as requested by manager.
  • Assists with site inspections from set and preparation to conducting sites on behalf of the sales manager.
  • Departmental Communication – assist with maintaining the department bulletin boards.
  • Maintain inventory of office supplies and maintain functionality of office equipment.
  • Contribute to overall customer satisfaction by promptly responding to communications.
  • Responsible for Special projects as assigned by DOSM, DOG, and DOCC.

Qualifications

  • The ideal candidate should have prior experience in a hotel administrative role, but not required.
  • Ability to effectively use Microsoft Word, Publisher, Outlook, and Excel is required.
  • Computer Programs, prior experience not required but is a plus: Opera, Delphi.FDC., Cvent birchstreet. Opera; Social Tables
  • Must have good organization skills, attention to detail, and be able to multi-task. Time Management is important.
  • Must have excellent written and verbal communications skills.
  • Maintain a professional business appearance, attitude, and performance as set forth in the employee dress code guidelines.
  • Willingness to learn and build upon existing administrative, sales, and customer service skills.
  • 18 years+ only.
